For years I struggled with how to create a better workflow in my business. It was something that I never really found to be important but I also knew that my business was not functioning as well as it could be. Maybe you can relate?

I had no structure or systems of practices (SOP’s). And you can probably imagine how awkward it was when a potential client would reach out wanting to book and I was scrambling to get my life together. Yikes.

Having a good workflow can provide so many benefits to not only your business but just you in general.

Say goodbye to any confusion among you and your team and not feeling your clients are receiving the same experience.

On episode 057 of The Branded Cowgirl Podcast I go into 3 tips that I have implemented in my own business that help my business run smoothly and effectively. These are things you will be able to start doing today to create a better workflow for whatever industry you are in. Let’s get into it shall we?

1. Time Management / Task Management For A Better Workflow

The first thing you are going to want to apply in your business to create a better workflow is some kind of task management software or system. In other words this could be digital to do list, or a written one if that’s more your jam.

Personally, I use both because my schedule changes so much and I need to have more flexibly than crossing things off in a paper planner all the time.

If you are wanting to start using a digital planner or task manager here are a few I would recommend:

  • Asana
  • Trello
  • Google calendar
  • HoneyBook
  • Monday.com

I currently use HoneyBook, Trello, and Google Calendar to manage all of my tasks and To Do’s as well as a paper notebook also. My HoneyBook account is specifically used for all of my Client Management needs and I can schedule photoshoots, coaching calls, and podcast interviews through it.

I use Trello for all things Content Creation. And Google Calendar is just my big overall schedule with everything from business, to personal, to traveling and more.

I have not personally used Asana or Monday but have heard great things about both!

2. Only Do Meetings and Appointments on Certain Days

Something I could get a little better at but do stick to pretty regularly, is only scheduling meetings on certain days of the week. This has helped me create a better workflow because I know that there are only a few days a week where I need to physically speak to people and get ready for the day (where are all my anti social peeps at? LOL)

I do not do any meetings on the weekends, and I try to avoid holding meetings or coaching calls on Mondays & Fridays.

Tuesdays, Wednesdays, and Thursdays are fair game.

Monday’s are typically my admin days where I get the boring backend business stuff done and then Fridays are my fun half days where I try to log off work early and just do the more fun things like graphic design or schedule things on Pinterest.

Obviously every kind of business is different and you will need to figure out what works for you but for me this tends to work quite well.

3. Create a Better Workflow Using A Project Management Tool

This is going to be very similar to the first tip but having an overall project management tool is going to be a great way to make sure an entire project is flowing smoothly. As stated earlier I use HoneyBook for project management as I can send contracts, invoices, brochures, emails, and questionnaires all in one place.

This has literally taken my workflow to new heights. And it is so easy to make sure my clients are getting the same great experience and are well taken care of.
